For solo therapists and practitioners

Tax time without the shoebox of receipts.

Log each payment and bill as it happens. Your monthly totals and a one-page year summary fill themselves in.

A spreadsheet file (.xlsx). Opens in Excel, Numbers and Google Sheets.

Three habits. That's the whole system.

You type in the white cells. Everything shaded is worked out for you.

1

When you're paid

Add a row: the date, a client reference and the amount. Use a code like C-014, never a name.

2

When you pay a bill

Add a row and pick a category from the list: room rent, supervision, software, training and more. Rename them to suit.

3

When your accountant asks

Open the Year summary: total income, total expenses, miles and each category on one page.

  • A real file, not a picture: open it and start typing
  • The sample has Income, Expenses and Month by month, with March filled in
  • The full workbook adds Mileage, the Year summary and room for 300 rows of each
  • Works offline. No account, no subscription, nothing to send us
Steady Ledger is a record-keeping template. It is not tax or accounting advice, and its categories are only labels: ask your accountant what applies to you.

Questions

Where does my data go?

Nowhere. It's a file on your own computer. This site never sees what you type into it.

Should I put client names in it?

We suggest short references like C-014 instead, so the file holds nothing sensitive if it's ever shared by mistake.

Does it tell me what I can deduct?

No. It keeps your records tidy so the conversation with your accountant is short. The rules are theirs to explain.

Can I change the expense categories?

Yes. They live on the Lists sheet; rename them and the dropdown and the Year summary follow.
